Sharing Outlook Calender

Jun 20th 2008

How to Share Your Outlook Calender Online

Have you ever wondered how you can share your Outlook calendar on the Internet with your personal assistant, secretary, staff, friends or other contacts?. Or are you like me and have one computer at home, and another one at work and have been looking for a solution as to how you can update your calendar while in a different location without having to spend a fortune on hardware and software?

More recently I was asked by a client who runs a small business if I knew of such software to solve this problem. I was aware of Google Calender as I had been working for some time, using Google Docs as a way of sharing some information with myself and other staff members. I had found the Excel spreadsheets and word documents on Google a very efficient way of working collegially and across long-distance.

However, when it came to the calendar, because I used Microsoft Outlook and this synchronises with my mobile phone, it seemed to me a bit of a pain to use the Google calendar as I would need to update both my calenders. Now, with the added pressure of one of my clients needing exactly the same solution that I was yet to investigate fully, I was spurred into action.

My criteria on a solution were pretty simple.

1. It had to be easy to install and set up by someone with moderate computer skills such as myself and

2. It needed to work well, and

3. If at all possible, the software needed to be cheap (a desirable criteria in any software).

Fortunately I came across a couple of solutions that looked good very quickly and downloaded both. The eventual solution that I settled on was http://www.syncmycal.com. This software is specifically set up to synchronise your Outlook Calendar, with Google and can be set out to update every 10 or 15 minutes so that any new appointments put into your Google calendar will appear in your Outlook calendar, as well as any appointments put into your Outlook calendar will appear in your Google calendar.

Because I use my mobile phone as my key diary while out of the office, I will tend to input appointments that I make a while on the road directly into this. When I get back to my home base, I simply cradled my mobile phone and the appointments drop into Outlook, and not long after these appointments synchronise with Google calendar. Likewise, if my personal assistant has booked anything in for me, it appears in my phone by coming back the other way.

The total solution is around $25 US as a one-off payment, which I think is great value. If you are on the road a lot, they have one specifically for mobile devices as well for the same price. The software contains step by step instuctions on how to set it up which I did refer to and found very useful.
